We're excited to introduce the new scope changes in Freshmarketer, bringing more control and flexibility to your customer relationship management (CRM) experience. The latest modifications allow users to define different scopes under each action permission for your CRM modules. Each module has three action permissions: View, Edit, and Delete. Additionally, each permission can be defined in terms of scope access, which includes Global, Territory, or Restricted.

This new level of granularity in scope access brings new opportunities for personalizing and managing your Segments and Journeys. It allows organizations to manage data access more effectively, based on their unique structures and workflows while preserving the security and integrity of their data.

We hope this article helps in understanding the nuances of Freshmarketer's new scope changes. As always, we're committed to making your experience with Freshmarketer as seamless as possible. If you have any additional questions, don't hesitate to reach out to our support team.

This article will guide you through these changes and help you understand their implications on Segments and Journeys.

To streamline your experience and help you dive right into Freshmarketer, by default, Marketing Manager & Marketing Users are given Global scope access for all action permissions. This means users can view, edit, and delete data across the entire CRM. However, as an organization grows and its needs evolve, this level of access may not be suitable for every user.

As an administrator, you have the power to adjust the scope access based on user roles. By doing so, you can ensure that each team member has just the right level of access they need for their role. This customization fosters a more secure and efficient environment for managing your customer relationships.

Before you start tweaking these settings, we strongly recommend you familiarize yourself with the concepts of roles and scopes within Freshmarketer's CRM. To help you get started, we've curated a set of resources that provide a comprehensive understanding of these concepts. Click here to access the knowledge base article.

Impact on Segments

In the realm of Segments, the "View" scope is primarily influenced by this change. Depending on the defined scope, users will now have different levels of access to pull in the contacts into a segment.

Let's illustrate this with an example. Suppose your CRM holds 1 million records. If a user's scope is defined as "Territory Access," they will not be able to apply the segmentation condition for all 1 million users. Only the contacts associated with the user's territory will be included in the segment. On the other hand, if a user has "Global Access," they will be able to apply the segmentation condition to all users within the CRM, allowing for broader reach and engagement.

Global View Scope Access will pull in all the contacts

Restricted View Scope Access will pull only the contacts that are assigned to the user's territory

Impact on Journeys

In the context of Journeys, both the "View" and "Edit" scopes are affected. Your access levels to view and edit contacts significantly influence how you set up your journeys.

Consider the following scenario: A user with global "View" access and "Territory" edit access is setting up a journey. All the contacts will be pulled into the journey because of the global view access. However, when it comes to updating a contact field (or performing any edit action), only the contact fields accessible in the user's territory can be updated due to the territory-based "Edit" access. Thus, even though the journey includes all contacts, the scope of editing is still restricted to the user's territory.

Journey blocks where edit scope is applicable:

  • Update Contact
  • Add Notes
  • Add Deal
  • Update Deal
  • Add Sales Activity
  • Add Task
  • Add to List
  • Remove from List

It's crucial to remember that the scope settings of the user setting up the journey will determine the applicable settings for the journey. For instance, if a user with Global view access triggers a journey set up by a user with Territory view access, the journey settings will only apply to the Territory view scope.

User with Restricted Scope View Access & Restricted Scope Edit Access

This new level of granularity in scope access brings new opportunities for personalizing and managing your Segments and Journeys. It allows organizations to manage data access more effectively, based on their unique structures and workflows while preserving the security and integrity of their data.
